Success in the Role: What are the performance outcomes over the first 3 - 6 months you will work toward completing? 

  • Within 30 days of being part of our team, you will get to know key functional stakeholders within VMware and our strategic partners to start building relationships as well as provide executive administrative support for our VP lead.
  • Within 60 days of your employment, you will lead the planning for events we organize with our strategic partners as well as start taking on our communication strategy planning and execution. 
  • You will work very closely with our VP lead, our lead for strategy, planning and operations, and our three functions (business development, program management, and solution architects) to provide operational support for our day-to-day activities.
  • Within 90 days of employment, you will start executive reporting and independently leading our communication efforts and special projects to address our team’s business needs.
  • Beyond 90 days of your employment, you will operate independently and support our team in the above areas.

The Work: What type of work will you be doing? What assignments, requirements, or skills will you be performing on a regular basis? 

Your regular activities may be modified to meet your professional strengths as well our team’s business needs but you can expect a variety of the following assignments:

  • Communication & Event planning*
  • Plan and execute on our team’s communication strategy, ensuring clarity of messaging to key stakeholders
    • Examples: Compile and edit content for our quarterly newsletter.  Coordinate the content with other teams. Help drive overall team communication in the form of blogs and other communication channels.
  • Plan and execute all aspects of VMware DTS business critical projects and events throughout the fiscal year
    • Arrange logistics (organizing meeting space including Audio/Video set-up, sending invites and manage registrations, event communications, agenda set-up, content collection/consolidation, securing speakers, etc.)
      • Event size: Event size can range from 10’s to 100’s of participants
      • Audience: VMware only; or VMware and its strategic partner(s); At senior (CXO) executive level with speakers from CXO level and down
      • Event Locations: Virtual*
      • Number and Duration of Events: On average, there are ~ 6 events to organize throughout the fiscal year but it can vary. The events can be anywhere from ~05. Day to 2.5 days.

*Due to the COVID-19 pandemic, we anticipate that near term events will be virtual, until such time that company and public health guidelines permit a return to in-person events. 

  • Project Management
  • Manage special projects on an as-needed basis; more challenging "growth" projects possible based on skills and interest. Examples: To support the lead for strategy, planning and operations in identifying on how to improve reporting logistics and/or select tools to increase team efficiency.
  • Executive Administrative Assistance
  • For the VP lead and the senior staff, coordinate and plan meetings 
  • Manage calendars and emails
  • Below will be applicable post-pandemic when travel opens again:
    • Prepare & track expense reports
    • Organize Meeting Space and catering
    • Arrange and confirm local, domestic, and international travel
    • Receive visitors
  • In general
    • Facilitate communication with all levels of management, both internal and external
    • Create, edit, and proofread business communications and documents utilizing various tools (MS Word, Excel, PowerPoint, SharePoint, Smartsheet)
    • Create & track PRs/POs as required
    • Support budget management as required
    • Fax, scan and copy documents (if required)

What is the leadership like for this role? What is the structure and culture of the team like?

You will be joining the VMware team in the Office of the CTO, which delivers highly visible and strategic initiatives collaborating and coordinating across VMware’s organization as well as strategic partners. 

The team is comprised of Business Development Managers, Solutions Architects, and Program Managers and spread throughout different locations in Palo Alto, CA, Austin, TX, Florida, Massachusetts, and New Hampshire.

The team culture is one based on building trust, transparent communication, and on-going development through coaching. We trust each other to get the job done right, which allows for a flexible schedule to balance work and life. 

This position reports directly into the Vice President team lead with over 25 years’ industry and management experience. The team lead’s management philosophy is about encouraging everyone on the team to be independent thinkers and strong collaborators. Remote: this role is fully remote and can be done anywhere in the United States of America.
